Everything You Need to Know Before You Flow
At Ember Pilates, we’re all about creating a safe, welcoming space where everyone can thrive. These studio policies help us keep things running smoothly—so you can focus on showing up, getting stronger, and igniting your spark within.
Check-In Policy
If it’s your first class at Ember, please arrive 10 minutes early for a quick orientation. First-timers must be present when class begins—no late entry permitted for safety and class flow reasons. Returning clients have a 3-minute grace period. Arriving after that? We’ll have to mark you as a no-show for safety and flow reasons. Waitlisted? We’ll release any no-show spots 3 minutes after class starts.
Reservations, Cancellations & No-Shows
Group Classes
- Reserve your spot through the Ember Pilates app or website.
- Cancel at least 10 hours in advance.
- $15 late cancel fee and $25 no-show fee
Fees apply to all membership types.
For clients using class packs, late cancellations and no-shows will result in the deduction of a class credit.
All fees are automatically charged to the card on file.
Private Sessions
- Cancel at least 24 hours in advance to avoid being charged.
- Late cancellations (less than 24 hours) and no-shows will be charged in full.
Waitlist Policy
If a class is full, join the waitlist. If a spot becomes available, you will be automatically added up to 3 hours before class.
Once added, the standard 10-hour cancellation policy applies. Please monitor your booking status in the app and remove yourself from the waitlist if you can no longer attend.
Membership Terms
All Ember memberships are month to month and auto-renew.
Unlimited memberships permit attendance at one (1) class per day, per class type.
Members holding an Unlimited Mat Membership may attend:
- One (1) Mat class per day
Members holding an Unlimited Reformer Membership may attend:
- One (1) Reformer class per day
Members holding a Hybrid Membership (Unlimited Mat + Reformer) may attend:
- One (1) Mat class per day under the unlimited Mat benefit; and
- Reformer classes up to the number of credits included in their selected membership
All bookings are subject to availability and studio policies.
Billing & Payments
- Memberships renew on your original sign-up date.
- Failed payments pause booking access until resolved.
Class Credits
- Credits must be used within your billing cycle—no rollovers.
- Class packs and promotional offers have expiration dates as listed at purchase. Unused classes expire automatically and are non-refundable.
Holds & Cancellations
- Cancel via email at least 30 days before your next billing date.
- Members may request one membership pause per calendar year for a period of 1–3 consecutive months, subject to approval by Ember Pilates. Additional pauses incur a $15/month fee. Pause requests must be submitted at least 7 days prior to the next billing date. Medical pauses may require documentation and may waive the freeze fee.
Medical Concerns & Pregnancy
Depending on medical history, injury status, or stage of pregnancy, Ember Pilates may recommend or require private sessions prior to participating in group classes. Expecting? With your doctor’s okay, you’re welcome to join group classes during your first trimester. After that, private training is highly recommended to ensure safe, tailored modifications.
Returns & Exchanges
All sales are final. Class credits, memberships, private sessions, and merchandise are non-refundable, non-transferable, and may not be shared between clients.
Lost & Found
Leave something behind? We’ll do our best to reunite you, but Ember Pilates is not responsible for lost or stolen items. Email us if you think you left something.
Phone Policy
Please silence and tuck away your phone before class. You’re welcome to snap pics before or after—but no recording during class. This is your time to tune in, not zone out.
Studio Conduct
We’re committed to maintaining a respectful and supportive environment. Ember Pilates reserves the right to refuse service or remove anyone whose behavior compromises the safety or experience of others.
Age Policy
The minimum age to attend class is 16. Anyone under 18 must have a parent or guardian present for their first visit, plus a signed waiver on file.
Grip Socks
Grip socks are required for all reformer classes for safety and hygiene purposes.
